Case & Specimen Management
Comprehensive case registration and multi-specimen tracking for histopathology and post-mortem laboratories. From patient demographics and request forms through to SNOMED coding and consultant sign-off.
Case Registration & Check-In
Register new cases quickly with structured data capture for patient demographics, clinical details, and referring clinician information. Every case is assigned a unique lab number and record number for full traceability.
- Patient Demographics - Capture patient name, date of birth, age, sex, address, NHS number, and hospital number with structured validation.
- Dual Case Types - Supports both histopathology (surgical biopsy) and post-mortem/coroner cases with tailored workflows and report sections for each.
- Request Form Upload - Attach scanned request forms as PDFs directly to each case. Support for multiple attachments per case with document type classification.
- Client & Clinician Linking - Associate cases with referring customers, clinicians, and consultants. Track case origin, mortuary, and coroner details for post-mortem work.
Multi-Specimen & Block Management
Each case supports multiple specimens, with detailed block and slide tracking throughout the laboratory processing pipeline. Track every tissue block and slide from cut-up through to the pathologist's desk.
- Multiple Specimens Per Case - Register and track multiple specimens against a single case. Each specimen maintains its own details, report template, and processing history.
- Block & Slide Tracking - Manage workload blocks identified by specimen letter and block number. Track individual slides within each block with configurable numbering.
- Workload Metrics - Automatic tracking of prosection count, cut-up count, slide count, H&E stains, special stains, and immunohistochemistry per case.
- Lab Movement Tracking - Monitor whether specimens are with the lab or out. Automatic status updates as slides are attached and processing completes.
Report Sections & SNOMED Coding
Each case type has dedicated report sections with rich text editing and independent consultant authorisation. Standardise diagnostic coding with integrated SNOMED-CT classification.
- Histopathology Sections - Specimen Details, Clinical Details, Macroscopic, Microscopic, and Supplementary report sections, each with independent authorisation.
- Post-Mortem Sections - Cause of Death, Internal Examination, Tissue Retained, Toxicology, and Histology sections tailored for coroner and forensic cases.
- SNOMED-CT Coding - Assign multiple SNOMED codes per case during microscopic examination. Searchable SNOMED database with type, code, and description lookup.
- Consultant Authorisation - Section-by-section sign-off with tracked authorisation user and timestamp. Cases cannot be finalised until all required sections are authorised.
From Check-In to Consultant Sign-Off
Every case follows a structured pathway through registration, BMS processing, pathologist reporting, and final authorisation.
Check-In
Case registered with patient demographics, clinical details, and referring clinician. Lab number and record number assigned automatically.
Prosection & Cut-Up
BMS staff perform prosection and cut-up of specimens. Blocks created and tracked with workload counts recorded per technician.
Embedding & Slides
Tissue blocks embedded and slides prepared. H&E, special stains, and immunohistochemistry tracked per block and slide.
BMS QC Check
Quality control checking by BMS staff. Slides verified and released to the pathologist for examination and reporting.
Pathologist Reporting
Macro and micro examination documented. SNOMED codes assigned. Report sections completed with rich text editing and quick text templates.
Consultant Sign-Off
Section-by-section authorisation by the consultant. Case closed once all report sections are authorised, triggering PDF report generation.
Case Management Features
Purpose-built tools for histopathology and post-mortem case management.
Client Management
Manage customers, mortuaries, case origins, and coroners as distinct client roles. A single organisation can serve multiple roles.
Multi-Role Users
Support for consultants, pathologists, clinicians, BMS technicians, and client users with role-appropriate access and views.
Quick Text Templates
Speed up report writing with reusable text templates. Insert standard phrases and findings directly into report sections.
Document Attachments
Upload request forms, scanned images, and supporting documents as PDF attachments. Bulk upload of request forms for batch processing. Multiple files per case with type classification.
Coroner & Forensic
Track coroner references, mortuary details, police evidence bags, and SIO information for medico-legal and forensic pathology cases.
Financial Tracking
Record case pricing, additional costs, and billing notes. Track invoice numbers, budget codes, and authorisation numbers per case.
Workload Statistics
Track prosection, cut-up, slide, H&E, special stain, and immunohistochemistry counts per case for productivity reporting.
Case Search
Search across all case attributes including lab number, patient name, NHS number, clinician, and date ranges.
Full Audit Trail
Every case action is timestamped with the user who performed it. Track creation, updates, and authorisations across all report sections.
